Refunds and Cancellation Policy

This Cancellation & Refund Policy outlines the terms for cancellations, modifications, refunds, and no-show bookings at The Boulevard Hotel, Jamshedpur. Please read carefully before making your reservation.

1. Standard Reservations

  • Free cancellation is allowed up to 24 hours before the check-in date and time.
  • Cancellations made within 24 hours of check-in will incur a charge of one night's room tariff (including applicable taxes).
  • No-show guests (who do not cancel and do not arrive) will be charged 100% of the first night's booking amount.
  • If cancellation is made within the free cancellation period, any advance payment will be refunded in full.

2. Same-Day Bookings

For reservations made on the same day as the arrival date:

  • Bookings are non-refundable and non-cancellable.
  • Full payment is required at the time of booking.
  • No refund will be issued for cancellations or no-shows.

3. Peak Season & Special Events

During peak periods including festivals, long weekends, major events, and high-demand seasons:

  • Free cancellation is allowed up to 72 hours (3 days) before the check-in date.
  • Cancellations made within 72 hours of check-in will be charged 50% of the total booking amount or one night's charge, whichever is higher.
  • The remaining 50% will be refunded to the original payment method within 7-10 business days.
  • Peak season dates will be clearly mentioned on the Website at the time of booking.

4. Group Bookings (5 Rooms or More)

  • A 25% non-refundable advance payment is required at the time of booking confirmation.
  • The remaining 75% payment must be made at least 48 hours before check-in or at check-in (as per agreement).
  • Free cancellation is allowed up to 7 days before the check-in date (advance payment will be refunded minus processing charges).
  • Cancellations made within 7 days of check-in will result in forfeiture of the 25% advance payment.
  • For partial group cancellations, the advance will be adjusted proportionally.

5. Non-Refundable Rate Plans

Certain promotional, discounted, or special offer bookings are marked as "Non-Refundable":

  • These bookings cannot be cancelled or modified under any circumstances.
  • Full payment is required at the time of booking.
  • No refund will be issued for cancellations, no-shows, or early departures.
  • Non-refundable rates will be clearly labeled on the Website during the booking process.

6. Booking Modifications

Changes to existing bookings are subject to the following terms:

  • Date changes: Must be requested at least 24 hours before check-in (72 hours during peak season). Subject to room availability and rate differences.
  • Room type changes: Can be requested based on availability. Price differences apply.
  • Guest name changes: Allowed without charge up to 24 hours before check-in.
  • Modification requests must be made through the same channel used for booking (Website, phone, or email).
  • Non-refundable bookings cannot be modified.
  • A modification fee of ₹500 may apply for group bookings.

7. Early Departure Policy

  • Guests who check out earlier than their booked departure date will forfeit payment for the remaining nights.
  • No refund will be issued for unused nights unless the early departure is due to hotel-related issues or force majeure circumstances.
  • Flexible rate plans (if offered) may allow penalty-free early departure - please check your booking confirmation.
  • Early departure must be communicated to the front desk at the time of checkout.

8. No-Show Policy

If a guest does not arrive on the scheduled check-in date without prior cancellation:

  • The booking will be marked as "No-Show" after 24 hours from the scheduled check-in time.
  • 100% of the first night's charge (or total booking amount for single-night stays) will be forfeited.
  • No refund will be issued.
  • The remaining nights of a multi-night booking will be automatically cancelled.

9. Refund Processing

Refunds will be processed under the following conditions:

Eligible for Refund:

  • Cancellations made within the free cancellation period
  • Hotel is unable to provide the booked room due to overbooking, maintenance, or other hotel-related issues
  • Duplicate payments or billing errors
  • Force majeure situations (at management's discretion - see Section 10)

Not Eligible for Refund:

  • No-show bookings
  • Early check-out
  • Late cancellations outside the permitted cancellation window
  • Non-refundable rate bookings
  • Same-day bookings

Refund Timeline:

  • Approved refunds will be credited to the original payment method within 7-10 business days from the date of cancellation approval.
  • Bank processing time may vary and is beyond our control.
  • Refund confirmation will be sent via email.
  • Payment gateway charges (if any) are non-refundable.

Refund Amount Calculation:

  • All refund amounts are calculated inclusive of applicable taxes (GST).
  • If the booking was made in foreign currency, refunds will be processed in the same currency at the exchange rate prevailing at the time of refund.
  • Any bank charges or currency conversion fees are the responsibility of the guest.

10. Force Majeure & Special Circumstances

In the event of extraordinary circumstances beyond reasonable control, the following terms apply:

Hotel-Initiated Cancellations:

  • If the hotel must cancel your reservation due to natural disasters, government orders, public health emergencies, civil unrest, or other force majeure events, a full refund will be issued within 7 business days.
  • Alternatively, we will offer rebooking at no additional charge (subject to availability).

Guest-Initiated Cancellations Due to Emergencies:

For cancellations due to medical emergencies, natural disasters affecting travel, or government travel restrictions:

  • Supporting documentation must be provided (medical certificate, travel advisory, etc.).
  • Management will review each case individually and may offer a full or partial refund, or booking credit for future use.
  • Such requests must be made within 48 hours of the circumstances arising.

Weather-Related Disruptions:

  • If severe weather conditions (as declared by meteorological authorities) prevent travel to Jamshedpur, guests may request rebooking without penalty.
  • Proof of flight/train cancellation or travel advisory must be provided.
  • Standard cancellation charges apply if rebooking is not desired.

11. How to Cancel or Modify Your Booking

Required Information:

Cancellation Confirmation:

  • You will receive a cancellation confirmation email within 2 hours of your request.
  • This email will include your cancellation reference number and details of any applicable charges or refunds.
  • Please retain this confirmation for your records.
  • If you do not receive confirmation within 24 hours, please contact us immediately.

12. Payment Terms

Standard Bookings:

  • Payment can be made at the time of booking or at check-in, depending on the rate plan selected.
  • Certain rates may require advance payment for confirmation.

Advance Payment Requirements:

  • Peak season bookings: 50% advance payment may be required
  • Group bookings: 25% advance payment mandatory
  • Non-refundable rates: 100% payment at booking
  • Same-day bookings: 100% payment at booking

13. Important Notes

  • All cancellation deadlines are calculated from the scheduled check-in time (standard check-in: 2:00 PM IST).
  • Cancellation charges are non-negotiable and will be enforced as per this policy.
  • The hotel reserves the right to modify this policy at any time. Changes will be effective immediately upon posting on the Website.
  • Bookings made through third-party platforms (OTAs) are subject to their respective cancellation policies in addition to ours.
  • For corporate accounts or special negotiated rates, separate cancellation terms may apply as per the agreement.
  • This policy is governed by the laws of India, and any disputes will be subject to the jurisdiction of Jamshedpur courts.
